The MCP server keeps a record of the tool calls AI apps make. It answers questions like “who used which tool, from which app, and did it work?”

What is recorded for each call

Calls that a tool refuses are recorded too, with their error code. So a refused attempt to use a tool that is switched off still leaves a trace. A request turned away before it reaches any tool, for example because the server is switched off or the person’s role may not connect, gets an error message in the AI app but no tool-call record.

What is left out of the record

The record is meant to show what was done, not to keep a second copy of your data.
For CRM tools, the server keeps only the shape of each request:
  • the action, for example get, set_status or send
  • lead, call, meeting and other record IDs
  • fixed choices (a status, a tier, yes/no options), numbers and dates
Free text is not stored. Notes, phone numbers, email addresses, names you searched for and message text are each replaced by a marker that says only that a value was removed and how long it was.
The record never contains the AI app’s answer to you, or the conversation in the AI app. Those stay in the AI app, under its provider’s terms.

How admins see connections

Admins can see who is connected in Settings → MCP Server → Active connections. Each row shows:
  • the AI app’s name
  • Connected by: the person who approved it
  • Last used, or “Never used”
Press Revoke to end a connection. It stops working at once, and that person has to connect and approve again to use it.
When someone changes role or leaves, revoke their rows in Active connections. Removing a role from Who can connect applies on the next request.

Getting the call records

The settings page shows connections, not the per-call record. If you need the tool-call records for a review or an investigation, contact your platform support team with the time range and the people involved.

The AI app’s own history

Your AI app keeps its own history of each conversation, including the tool calls and their answers. That history is governed by the AI app’s settings and its provider’s data policy, not by your institute. See Data and privacy.
